I would like to make a request for the following information relating to the authority’s current Multi-Functional Devices and printing/scanning services contract(s):

1. What services are included in the contract(s)? (e.g. printing vs scanning etc)
2. Which supplier is delivering them? (If in-house, please confirm or if multiple provider please identify them)
3. How many contracts does this entail and what’s the award value for each?
4. When do these contracts expire and do they have any extensions?
5. What is the annual volumetric data (split by Annual Mono and Annual Colour print)?
6. What is the total number of devices supplied?
7. What Managed Print Service software solution do you use?
8. How many Mono MFDs and Colour MFDs do you have?
9. What document management solution do you use?
10. What High Volume printing devices do you use?
11. Were any framework agreements used to procure the goods/services? If so, which ones?
12. Any documentation you can provide me with, e.g. the order form
13. What department is managing the contract and who’s the decision-maker?
14. How many Adobe Acrobat (standard, professional and reader) licenses do you have?
15. What is the annual cost?

Redress Scotland’s Response:

Redress Scotland do not have any multi-functional devices or printing/scanning service contracts.

1. What services are included in the contract(s)? (e.g. printing vs scanning etc) Redress Scotland do not have any multi-functional devices or printing/scanning service contracts.

2. Which supplier is delivering them? (If in-house, please confirm or if multiple provider please identify them) Redress Scotland do not have any multi-functional devices or printing/scanning service contracts or suppliers.

3. How many contracts does this entail and what’s the award value for each? Redress Scotland do not have any multi-functional devices or printing/scanning service contracts. Printing is only done on an ad hoc basis, and in 10 months has been less than £2,900 in total.

4. When do these contracts expire and do they have any extensions? Redress Scotland do not have any multi-functional devices or printing/scanning service contracts, and therefore no expiry dates.

5. What is the annual volumetric data (split by Annual Mono and Annual Colour print)? This data is not available, as we haven’t received any information on the breakdown of our ad hoc printing by Mono and Colour.

6. What is the total number of devices supplied? Redress Scotland do not have any multi-functional devices or printing/scanning
devices.

7. What Managed Print Service software solution do you use? Redress Scotland do not have any multi-functional devices or printing/scanning
devices.

8. How many Mono MFDs and Colour MFDs do you have? Redress Scotland do not have any multi-functional devices or printing/scanning devices.

9. What document management solution do you use? Redress Scotland use Scottish Government’s systems. Scottish Government use the electronic records and document management (eRDM) system. This is not our contract to consider.

10. What High Volume printing devices do you use? Redress Scotland do not have any High Volume printing devices.

11. Were any framework agreements used to procure the goods/services? If so, which ones? Redress Scotland do not have any High Volume printing devices.

12. Any documentation you can provide me with, e.g. the order form Redress Scotland do not have any High Volume printing devices.

13. What department is managing the contract and who’s the decision-maker? Redress Scotland do not have any High Volume printing devices.

14. How many Adobe Acrobat (standard, professional and reader) licenses do you have? Redress Scotland have reader licences for every panel member, board member, and member of staff, c58. However, these are procured through Scottish Government iTECs as we use their platform.

15. What is the annual cost? Under Section 17 of the Freedom of Information Act Scotland 2002, where public authorities receive requests for information that they do not hold, they must issue
notice advising that they do not hold the requested information. Redress Scotland do not hold information on the breakdown of individual elements within our agreement with the Scottish Government SCOTS platform. However, you may be able to request this information from Scottish Government Freedom of Information.

16. When is the renewal date? This is an ongoing agreement between Redress Scotland and Scottish Government, as Redress Scotland is an executive non-departmental public body which is sponsored by Scottish Government.

17. Who is responsible for the contract? Under Section 17 of the Freedom of Information Act Scotland 2002, where public authorities receive requests for information that they do not hold, they must issue notice advising that they do not hold the requested information. Redress Scotland are not responsible for the contract, as this is an agreement between Redress Scotland and the Scottish Government. However, you may be able to request this information from Scottish Government Freedom of Information.

18. Do you use any other PDF editing tools? Redress Scotland do not use any other PDF editing tools.
